The next six weeks !

Dear clients 

As a nation we are all working together to beat COVID -19.

As a company we have already closed our offices to the public but now we are asking our sales and rentals Directors to work from their homes . We can do this with call diversion from our offices together with all our systems being cloud based . 

Therefore we will be there for you if you need any advice or updates over the next 6 weeks during normal working hours. 

Naturally your property will still be advertised on Right Move ‘for sale’ or ‘To let ‘ and we will continue to qualify our buyers and tenants so that we are ready to organise viewings as soon as the government allows it. 

For our landlords and tenants we will continue to operate our Fix Flo cloud based system for maintenance issues so that we can still deal with urgent matters as normal. 

The property management Directors together with the sales Directors will be at your service during this testing time.

Business as usual but with a few precautionary tweaks...

The well-being of our clients, our associates and our staff at Henderson Connellan is our absolute priority, and health and safety has our complete attention. 

We have already taken steps to educate our employees throughout all of Henderson Connellan in order to limit as much as possible the virus known as COVID-19. All of our teams in Kettering, Corby and Market Harborough are fully aware of the current requirements and are following the highest possible hygiene standards. Should we have a member of staff returning from the affected areas abroad they will automatically be asked to self-quarantine for seven days. (NB - There are none at present)

We will be following developments on a daily basis and amending?our practices in accordance to W.H.O. (World health organisation) advice. 

We have also taken further measures in an attempt to help the overall national objective of stemming this outbreak as quickly as possible.

To re-emphasise all of our staff are regularly washing their hands in line with good hygienic practise.  

Our premises are all regularly cleaned on a professional basis and additionally hygienically cleaned daily by the sales and rental teams.  

Our travelling staff (viewing representatives and valuers) have been asked not to shake hands or get too close to people during their daily routine. We are adopting a 2-metre distancing rule that will be followed by all of our staff so please don’t be offended.  

All of our IT and telephone systems at all three branches are cloud based, and therefore all staff have the capability to work from home if they need to self-isolate.

We have outlined our action plan below which will be effective from the commencement of business on Tuesday 17th of March. 

We believe that these precautions are sensible but will still allow, in the main, the provision of a high level of personal service which is our overall objective while helping in our own way to curtail the spread of this virus.

We would also like to take this opportunity to thank you for your continued support and understanding with regard to the temporary changes that are being made.  

 

Temporary revised Sales department policy

• All of our offices will be manned but closed to the general public until further notice. All communication will be conducted via telephone, text and email. The delivery/ collection of keys and documentation will still be possible under the 2 metre social distancing rule together with hand sanitation (once this becomes available) at the door entrance. A poster in the window will provide for the general public full contact details for every member of the sales and rental teams. 

• Open house days will be suspended until further notice. 

• All viewings will be accompanied on a one to one basis. It will be preferable to conduct a viewing, by prior arrangement while our vendor is absent from the property if possible. Surfaces must NOT be touched during the viewing and hand sanitizer(when it becomes available) will be provided by our representatives to the client viewing.  

We will operate social distancing of at least 2 metres to limit infection while conducting the viewing.

• Viewings will not take place if the subject property is under isolation. All potential buyers should declare themselves fit before viewing a prospective property. Our agents will use their discretion to cancel the viewing if there are any cold symptoms showing before the viewing commences. 

• It will be advisable that where possible all communications are conducted by telephone or email and not face to face. In this regard all clients are requested not to visit our offices at this time.

 

Temporary revised Rentals department  

• All viewings will be accompanied on a one to one basis. It will be preferable to conduct a viewing, by prior arrangement while our landlord/tenant is absent from the property if possible. Surfaces must NOT be touched during the viewing and hand sanitizer will be provided by our representatives to the client viewing.  

We will operate social distancing of at least 2 metres to limit infection while conducting the viewing.

• Viewings will not take place if the subject property is under isolation. All potential tenants should declare themselves fit before viewing a prospective property. Our agents will use their discretion to cancel the viewing if there are any cold symptoms showing before the viewing commences. 

• It will be advisable that where possible all communications are conducted by telephone or email and not face to face. In this regard all clients are requested not to visit our offices at this time. 

• Inspections - our agents will wear protective hygienic gloves. If the tenant/ tenants are in self quarantine the inspection will be postponed until further notice. 

• Tenants should continue to use the Fixflo maintenance report system if there are any maintenance issues, along with a photo where possible. 

• Any final inspections will be dealt with after the keys are handed in and we will get back to our tenants within a reasonable time frame.  

• Where we are offering renewals, if you are unable to return the documentation to us due to self-isolation then we can accept your written confirmation by e-mail until you can get the signed document to us. 

• With regard to Tenant Move Ins the best way to carry these out from 17.03.20 will be as follows -all documents will be sent via e-sign for signing prior to a tenants move in date. On the day of Move In, keys and a move in pack can be collected from the front desk of the appropriate office.

There will be 3 trays on the front desk clearly labelled, Sales Completions/Lettings Move Ins/and Contractors which will contain envelopes with the specific keys contained, together with a signing out book.

•Inventories will be carried out as normal prior to a Move in - however we would ask that Landlords ensure that the property is ready and that they are not present at the time of the Inventory.

• Please give due consideration and alert us if you require any contractor visits during a period of self-isolation.

 

To confirm, at this stage we are continuing with appointments based on the 2 metre social distancing rule but observing strict guidelines to prevent further spread of the virus. To reiterate we would also suggest that homeowners, landlords and existing tenants don’t attend the viewing to avoid unnecessary contact.

As you can see, we are taking all of the sensible precautions to enable properties still to be sold.  

However, should you, as a vendor wish to pause viewings on your property - please reply to this email requesting that action. If we don’t hear from you via e-mail, then we will assume you are currently happy for viewings to continue and have fully assessed the balance of risks involved.  

We will continue to monitor the situation and update our internal processes in line with Government guidance and will advise you where necessary. We are also monitoring connected suppliers such as solicitors, surveyors and banks - who at the time of writing are still operating normal working hours, as are we.
